Ambition Institute is committed to supporting teachers and leaders with high-quality professional development, while navigating the challenges of increasing workloads and the need for rapid, consistent communication. Staff often spend valuable hours on repetitive administrative tasks such as acting on insights from stakeholder feedback, reviewing materials for spelling, punctuation, grammar (SPAG), academic referencing, and adapting resources for diverse audiences.
Solution
Ambition’s Technology Director set out to explore how secure generative AI tools might support staff in managing increasing pressures, reducing administrative burdens, and alleviating repetitive tasks. The initial aim was to assess whether AI could be safely and effectively integrated into daily work, helping staff to deliver more efficiently and begin Ambition’s journey with AI. As the project developed, further opportunities emerged to enhance the tools – introducing features to reinforce the Ambition brand, and ensure every communication is aligned with the organisation’s mission.
Enabling Staff Confidence in AI Tools: managing change
Progress at Ambition has been supported by the Technology Director’s thoughtful approach to introducing new technology. She took steps to explore how AI could be useful within the organisation, acknowledging and responding to initial scepticism among staff. By joining team meetings and engaging directly with colleagues, she was able to share information about the AI tools and respond to questions. Staff were encouraged to experiment with the technology and consider how it might fit into their existing workflows. The Technology Director also guided the process of adapting the AI tools to reflect Ambition’s tone of voice and mission, contributing to greater consistency in communications. Adoption rates are currently at 60% – which is above the 58% average AI adoption compared to organisations globally (KPMG and University of Melbourne 2025 “Trust, attitudes and use of artificial intelligence”), indicating ongoing engagement and interest across the organisation.
Leading AI’s Tools Work: Bespoke, secure AI for Ambition Institute
Leading AI’s KnowledgeFlowTM platform provides staff with an intuitive, chat-based interface, accessible to all digital confidence levels. Unlike generic AI systems, these tools have been trained on Ambition Institute’s programme details, operational manuals, eligibility criteria, and funding rules to:
- Enable staff to access instant answers, helping them respond quickly and accurately to participants on teacher CPD programmes by providing timely, consistent information.
- Write in Ambition’s Tone of Voice from their brand guidelines: The AI produces communications and resources that consistently reflect Ambition’s brand, values, and mission.
- Demonstrate Awareness of the Organisation’s Mission by aligning with Ambition’s strategic goals, reinforcing the organisation’s purpose and supporting its educational objectives.
- SPAG Review with Harvard Referencing: Instantly checks and corrects spelling, punctuation, and grammar, while ensuring all citations follow Harvard standards.
- HTML Code Generation for LMS: Automatically creates HTML code for specific learning management system (LMS) formats, eliminating the need for costly bespoke development.
Outcome
Adoption and Engagement
Since January 2025 there has been consistent high use of the AI tools:
- 185 regular users out of 300 staff (over 60% adoption)
- 11,000 prompts per month
- 200 staff days saved per month based on usage analysis – time that is redirected to higher-value work
Journey and Future Pathways
Ambition began its AI journey with Leading AI in March 2024. Since introduction there has been a steady adoption path, and the organisation has been achieving significant time savings and measurable benefits through the adoption of bespoke, brand-aligned AI tools. The Technology Director’s vision continues to guide ongoing efforts to increase adoption and maximise impact.
